We are looking for an Administration Assistant / Receptionist to front our Portsmouth office. The main purpose of this role is provide a full reception service. Key responsibilities are:

  • reception – ensuring reception is fully covered and meeting and greeting clients
  • booking and preparing meeting rooms ensuring they are clean and tidy at all times
  • arranging catering / drinks for all internal and external meetings
  • answering incoming telephone calls
  • logging calls including taking and passing on messages quickly and efficiently
  • ordering the weekly groceries online
  • ensuring kitchen is kept clean and tidy, emptying dishwasher
  • ordering stationery
  • organising print cartridge collection
  • ordering new business cards
  • ordering labels for post
  • setting up conference calls for meetings
  • maintaining lunch rota to ensure cover is provided
  • binding accounts for client approval
  • weekly washing of tea towels for both Portsmouth offices
  • general administrative tasks
  • sanitising kitchen, communal areas and meeting rooms

You will often be the first person that clients and employees see so you are always representing the Company.

We are looking for candidates with the following skills and experience:

  • minimum of C GCSE (or equivalent) in Maths and English
  • previous Reception experience in a professional environment is an advantage
  • presentable with a professional telephone manner
  • IT Skills with a good understanding of Microsoft Office
  • actively communicates relevant information to colleagues, making them aware of any potential issues
  • ability to quickly establish relationships at all levels
  • listens, questions and clarifies information and instructions.
